How a pre-trip inspection goes

Pick the truck

Drivers see the trucks assigned to them. The app shows that truck’s last inspection and any defects still open.

Go down the checklist

Eleven parts, from service brakes to emergency equipment. Enter the odometer, mark a defect, add a photo and a note, then sign.

The office follows up

The owner and admins are notified when a driver reports a defect. Mark it repaired, with who fixed it and when.

The DOT pre-trip inspection checklist in the app

The same eleven parts for a pre-trip and a post-trip inspection, as named in 49 CFR 392.7 and 396.11(a)(1). A driver marks each one, and can mark the whole list at once when nothing is wrong.

Before you download

Can drivers inspect without an iPhone?

Yes. The drivers you invite can inspect from a web browser on any phone, Android included. Each driver connects with their own private code; there is nothing to download.

Does it work with no signal?

Yes. An inspection is saved on the device, even with no signal, and syncs when the phone is back online.

What happens when a driver reports a defect?

The owner and admins get a notification. The defect stays open on that truck, and shows to the next driver before a pre-trip, until someone marks it repaired with who fixed it and when.

Is it free?

No. Fleet Files needs a subscription, and the drivers you invite are covered by it. If you only want a paper form, Ledger Road has a free printable DVIR form.

Is this a CDL pre-trip inspection test app?

No. Fleet Files is for carriers and their drivers recording inspections on their own trucks. It does not teach or score the CDL skills test.

Is it only for inspections?

No. The same app keeps driver qualification files, truck registration and maintenance dates, short-haul time records and reminders for what is coming due.
